Data Export

Data Export lets your organization take a complete copy of its data out of the platform — a full, downloadable archive. It exists because the data is yours, and being able to retrieve all of it, on demand, is a basic expectation of a system you trust with regulated records.

A full export

You can request a full export of your organization’s data and download it as an archive, in a portable, machine-readable form such as JSON. Unlike the targeted exports in Import & export — which produce specific documents or interchange files — this is the comprehensive backup: the whole of your organization’s data in one package.

Why it matters

Data portability is both a practical and a governance concern. Practically, a full export is a backup you hold independently of the platform. For governance, the ability to obtain all your data avoids lock-in and supports retention and continuity obligations — you’re never dependent on the vendor to get your own records. For regulated organizations, demonstrable control over your data is part of due diligence on any system of record.

Alongside other exports

Use data export for the whole-organization archive; use the Reports and Import & export features for specific documents, submissions, and interchange. Between them, your data is never trapped — it can leave as a formatted document, a standards-based interchange file, or a complete archive, as the need requires.
